Terms and Conditions of Booking
Inquiries are processed upon reception of on-line request forms and e-mailed letters. You can also call us to find out about the availability of this or that hotel room, however, then you should fill in the request form to get your inquiry processed.
Your inquiry will be answered within 12 hours from the moment your message is received, if not on the week-end or holiday. Messages received on week-ends or holidays are processed the first working day after.
It is advisable to start making travel arrangements earlier than 14 days prior to the expected date of arrival to Ukraine. Although booking in advance is preferable, though we will process last minute requests as well, if they are received in working hours - Monday through Friday, from 9 AM till 7.30 PM (Ukrainian time).
Any bookings made through our web site are subject to your acceptance of the Terms and Conditions outlined below.
How to book a hotel room
Please, browse our site and choose any hotel room you would like to book. Then click ‘Order’ and you will proceed to ‘Order form’.
Fill out your Personal and Arrival information form, choose your preferable payment methods and click ‘Send’.
Having checked hotel room availability, our manager will send you a confirmation for the requested hotel room availability and payment details within 12 hours from the moment your form was submitted, if not on the week-ends or holidays. Those received on week-ends or holidays are processed the first working day after.
If the hotel room you requested is unavailable, you will be offered some alternative options. In this case your approval will be necessary to proceed with booking.
Prices and Payments
Prices
All the prices provided in USD (United States Dollars) are converted into UAH according to the National Bank of Ukraine exchange rate.
Prices include all state and local taxes.
The request total amount is shown on the payment authorization page in USD.
Payment cards (credit or debit cards) are billed only in UAH.
Booking procedure
Payment in full is required as soon as your booking is confirmed.
Payment is possible by credit and debit cards (Visa, MasterCard), Western Union money transfer and bank transfer.
On-line transactions (by Visa, MasterCard) are processed via the SSL secure server.
In the case of failed transactions we reserve the right to cancel unpaid services and all vouchers will be null and void.
We reserve the right to request documents copies and/or written/signed applications in accordance with Finance & Credit Bank requirements and recommendations.
Confirmed services will be held on option for 24 hours by which time we must be in receipt of full payment. Failure to pay will result in booking cancellation.
welcome-to-poltava.com.ua is not responsible for conversion rate deviation, caused by possible difference of National Bank of Ukraine exchange rate and conversion rate of Payment Systems, as well as any cardholder's bank or credit card company commissions involved in overseas transactions.
Changes to your reservation
If we cause any change to your travel arrangements after receipt of full reservation payment, we undertake to offer a similar or superior standard of accommodation without additional cost to you, or a prompt and full refund of all money paid.
Cancellation policy
Cancellation fees are charged as follows (in selected currency):
• Hotel cancellations made at 4 days or prior notice are refunded the following way:
sum total of the order minus 5% from sum total (5% is charged by Payment Systems and Banks for money transactions).
• 3 days or less prior to arrival: sum total of the order minus 5% from sum total (5% is charged by Payment Systems and Banks for money transactions) minus one night accommodation charge (which hotels charge as compensation of reservation cancellation). After sum total is deducted the mentioned before costs, money are sent to your credit/debit card.
Some hotels may charge more than 1 night accommodation charge. In this case it will be mentioned on the page of hotel description.
• During stay: No refunds for unused accommodation.
Amendments
Amendment fees are charged as follows (in currency selected):
• per amendment. Where amendments involving cancellations are made, relevant cancellation charges will also apply (See Cancellation policy).
All amendments are subject to availability. All cancellations must be notified to welcome-to-poltava.com.ua in writing and acknowledgement received by a customer.
Additional Hotel Charges
You must make payment for all services that are not included on your voucher (e.g. meals, phone call charges, laundry and mini-bar) directly to the hotel prior to check out.
Errors
Welcome to Poltava is not responsible for any costs incurred as a result of incorrect dates or data input by the client. It is your responsibility to supply the correct dates and information for all services requested.
Force Majeure
welcome-to-poltava.com.ua shall not be liable for any failure or delay in performance of its obligations which results directly or indirectly from any cause or circumstance which is beyond its reasonable control. Without limit to the generality of the foregoing, the following shall be regarded as such circumstances: acts of God, outbreak of hostilities, riot, civil disturbance, acts of terrorism, revolution, the act of any government or authority), fire, flood, lightning, explosion, fog or bad weather, interruption or failure of a utility service (including but not limited to electricity, gas, water or telecommunications), renovations undertaken by the hotel, or strikes.
Complaints
If you have a genuine complaint concerning your accommodation and cannot resolve it with the hotel directly, you must report it to Welcome to Poltava immediately using the emergency number on your voucher or booking summary. We will attempt to resolve the matter or seek an alternative for you locally if appropriate. Upgrades may incur additional cost to you. Complaints concerning accommodation cannot be dealt with after the event if you fail to report it at the time.
Ukrainian visa
According to the Decree No. 1008/2005 and the amendments to it introduced by the Decree No. 1175/2005 the US, Canada, EU, Switzerland and Liechtenstein, Japan citizens do not need a visa to enter Ukraine if the period of their stay does not exceed 90 days. If you require a visa to Ukraine, please, contact any travel agency that deals with visa documents and order your documents there. Upon the completion of your hotel room reservation we will send you a confirmation letter. Upon your request we can also provide you a special invitation which may be necessary for you while making your Ukrainian visa FREE OF CHARGE.
Privacy and Confidentiality
All booking data, personal data, payment cards information is kept confidential and is not disclosed to the third parties. Please, note inquiries made by the third parties about your bookings will not be answered, unless you instruct us to do so. In case, you wish to have someone follow up your bookings for you, please, inform us about his/her name and e-mail address.
Consent
By consenting to our terms of booking, you confirm that you are at least 18 years of age.
