Terms and conditions

  We provide an advance booking system if the rent period is more than 2 nights. If the rent period is 1 or 2 nights you are accommodated upon your arrival. In this case you call us and we get you accommodated in any rental unit available at this moment.                                          

                                 How to reserve an accommodation 

  Please, browse our site and choose any apartment/private house/cottage you would like to rent. Then click ‘Order apartment’ and you will proceed to ‘Order form’.

Fill out your Personal and Arrival information form and choose your preferable Payment methods and click ‘Send’.

Having checked accommodation availability, our manager will send you a confirmation for the requested rental unit availability within 12 hours from the moment your form was submitted. If the rental unit you requested is unavailable, you will be offered some alternative options.    

At this point you will be able to make your advance payment for accommodation reservation depending on the Payment Methods you have chosen.   

The reservation is completed only after the reception of the advance payment.                                               

                                                    Payment procedure

                                                                 Deposit

   Apartment is considered to be reserved after the deposit is received.

Regardless the rent period we require an advance payment in the amount of the accommodation rent price for 1 night. For instance, if you want to reserve an apartment for 10 nights which costs U.S. $ 70 per 1 night, your advance payment is U.S. $ 70.

In case you prefer to pay online with a help of your credit/debit card, one-time reservation fee in the amount of U.S.$ 5 is additionally extracted.

Your deposit will be deducted from total sum of payment upon your arrival and final calculation.     

Deposits are non-refundable, thus, make sure that you booked your flights before making your reservation.

Deposits are not retained by Welcome to Poltava but passed directly to apartment owners to ensure your reservation. Therefore, unfortunately they cannot be refunded.

                                                        FULL BALANCE PAYMENT  

  Full balance invoice should be paid upon your check in cash. Payment is accepted in either Hryvnyas (Ukrainian currency), U.S. dollars or Euros. You can pay us either in our office (only for Poltava) or to the manager who will be waiting for you at your apartment.  

                                                     CHECK-IN, CHECK-OUT 

  Check in time – 2 P.M. However, sometimes it is possible to check in at 12 P.M. This is possible when the apartment was not occupied a night before your arrival and does not require cleaning and changing bed linen & towels.    

Check out time – 12 P.M. (12:00)    

According to our policy early check in and late check out are charged as the full daily apartment cost. 

However, we will do our best to accommodate you in case of earlier availability status.    
In cases of early arrival and early check in necessity, please, consider booking for the previous to your arrival night.   
 
Reservations for Early check in or Late check out are completed in advance only. Please state it in your apartment reservation form.                                                                   

                                                                   CHECK IN 

                                          Transfer to the apartment by our company: 

  Our driver will pick you up at any place within the territory of Ukraine and transfer you directly to the reserved apartment in a timely and safe manner. In your apartment you will be met by our manager who will give you a short trip over apartment and answer all your questions concerning it and also the stores, supermarkets, night clubs etc. which are located near it.     

If you arrive before check-in time you will be transferred to our office where you will be able to leave your luggage or wait till check-in time. When apartment will be available our managers will arrange a taxi service from our office to your apartment and ‘…give you a short trip over apartment and answer all your questions concerning it and also the stores, supermarkets, night clubs etc. which are located near it’.   

  If you do not plan to use our PICK UP/TRANSFER services: 

Check in by yourself through our office (the address is indicated in section ‘Who we are’) where you can get your keys and information on how to get to your apartment (for Poltava only).

Check in by yourself through the address of the rental unit you will be provided. Our manager will be waiting for you at your apartment to ‘…give you a short trip over apartment and answer all your questions concerning it and also the stores, supermarkets, night clubs etc. which are located near it’ (for other cities).

                                        CANCELLATION POLICY   

  Accommodation reservation represents mutual commitment. From our side we guarantee apartment availability for the whole period booked, and refuse other clients interested in the apartment. On the other hand, we strongly encourage you to plan your trip before booking an apartment.  

• If you decide to cancel your reservation at any time, or change your dates, your deposit will not be refunded. 
• Also, the rent amount paid for the apartment is not refunded in case you decide to leave the apartment prior to the date agreed during booking.  
     

                                      CHANGE OF RESERVED RENTAL UNIT     

  Reserved apartment is a subject to be changed if some electricity/water/heating cut off or breakdown occurs and it cannot be fixed. In this case we provide you with similar accommodation or even better the following day. Otherwise, we can return you your deposit back.        

                                             FORCE MAJEUR    

  Reserved apartment is a subject to be changed if some electricity/water/heating cut off or breakdown occurs and it cannot be fixed by your arrival date. In this case we provide you with similar accommodation or even better apartment. Otherwise, we can return you your deposit back.     
  

                                                 GUARANTEE    

  We would like you to be aware of frequent fraud cases of several internet accommodation agencies in Poltava, their false registration or absence of official certification. We would like you to feel secure and confident working with us.  

Our site guarantees that:  

• All apartments we offer are real and properly registered. 
• All photos are original. 
• We fully guarantee your reservation and provide you with your lodging upon receiving your deposit.  
• We prefer to work with our constant clients and value our reputation, thus, we do not practice offering one apartment and replacing it with any other, unless there is a force major situation for that.   

After receiving your booking deposit we have pay it to the apartment manager or landlord/lady and take her signature about booking. After then we send you apartment booking confirmation with indication of your name, dates, ID number and address of apartment.                                                      

                                                                 PETS  

  Residing at apartments of pets is forbidden. Prior special sanction is needed for booking apartment if you are going to live with pets. If you have not received the sanction for residing pets, your order can be cancelled. In this case, the advance payment does not refund.
